Terms and Conditions

All cancellation requests must be submitted in writing via email to:

Cancellation Policy

Cancellation requests will only be considered effective from the date the email is received.

  • 45 days or more before departure: 20% of the total trip cost will be charged.
  • 30–44 days before departure: 40% of the total trip cost will be charged.
  • 20–29 days before departure: 60% of the total trip cost will be charged.
  • 10 days or less before departure: 100% of the trip cost will be charged (no refund).
  • Any request to change the trip date or transfer to another batch must be made at least 45 days prior to the departure date.
  • All requests are subject to availability and approval by Ponytail Excursions.
  • The remaining balance of the trip amount must be paid at least 45 days before the departure date.
  • Failure to make the payment on time may result in cancellation of the booking, and the applicable cancellation policy will apply.
  • If Ponytail Excursions cancels the trip, 100% of the land package amount will be refunded.
  • Flight tickets are non-refundable and are subject to the airline’s cancellation and refund policy. Ponytail Excursions is not responsible for airline cancellation charges or refunds.
  • The itinerary may be modified due to operational requirements, weather conditions, government regulations, or other unforeseen circumstances.
  • In such cases, every effort will be made to cover all major sightseeing attractions or provide suitable alternatives without compromising the overall travel experience.
  • If the trip is postponed or rescheduled due to circumstances beyond our control, including but not limited to natural disasters, extreme weather, civil unrest, war, pandemics, government restrictions, or other emergencies, it will not be considered a cancellation by Ponytail Excursions. In such cases, travelers may choose to:
    • Join the trip on the revised departure date, or
    • Transfer to another available trip.
  • If a traveler chooses not to travel and requests a refund, the applicable cancellation charges, along with any non-refundable expenses already incurred on their behalf, will be deducted.
  • Refunds will be processed within 7–14 working days from the date of cancellation approval.
  • Cancellation charges, visa fees, flight tickets, travel insurance, payment gateway charges (approximately 2.25%), and any other non-refundable expenses already paid on behalf of the traveler will be deducted from the refundable amount.
  • Any applicable bank charges will also be deducted.
  • The booking amount is non-refundable.
  • However, if the cancellation or trip change request is made at least 45 days before departure, the booking amount may be converted into a credit voucher, which can be used for any future domestic or international trip with Ponytail Excursions, subject to availability.
  • Ponytail Excursions is not responsible for airline schedule changes, delays, cancellations, baggage policies, missed connections, or any other airline-related issues.
  • Travelers must coordinate directly with the respective airline for all flight-related matters.
